This article guides Order Administrators in creating automatic work order assignments for individual workers in Facilitron Works.


Configuring the Auto-Assignment

Works enables auto-assignment of work orders in a few easy steps. To configure auto-assignment, first ensure that there is a worker profile configured for the worker who should be the recipient of an auto-assignment. If the user does not have a worker profile, please see Creating a User's Worker Profile to add a worker to Facilitron Works. 


  1. Assign the worker to a property. Go to Manage > People > Associate Maintenance Worker to Property > click blue "+ Add New" button. Select the appropriate properties, worker, and trade to feed the automation.

  2. Finally, go to Manage > People > Auto-Assign Work Orders > click "+ Add New". On this page, you will be selecting a single worker to receive the work order assignment for the properties, statuses, trades, priorities and work categories you select. For example, if you have one custodian or custodial supervisor of a crew at a property who should automatically get all custodial related work orders routed to them, select that person > “Received” status > select property > select Custodial purpose > any relevant trades > any relevant priority > then Custodial work category > click Add Assignment button.

    Please be aware that more criteria selected means more conditions need to be met for anyone creating a work order to trigger the automation rule. It is best to use the "All" check box whenever possible for each segment so the automation can filter the most work orders under the conditions to the appropriate person. Otherwise, the person creating the work order must match the work order assignment rules exactly to route a work order to the correct worker automatically.
