How Do I Upload My Document? (Non Profit Determination Letter, Team Roster, Tax Exemption Letter, etc.)

This article will assist Renters with uploading a document to their reservation or renter organization.

Documents such as non profit determination letters, team rosters, tax exemption letters, etc. may be required for your organization or reservation to be approved, or for a certain rate category to be applied. These documents may be uploaded either from your Documents page, or directly on your Reservation Details page.

If a document should apply to all reservations within a district (such as a non profit determination or tax exemption letter), it should be uploaded to the Documents page. If a document should only apply to a single reservation within a district (such as a team roster), it should be uploaded to the Reservation Details page for that specific reservation and specify that the document is for that specific reservation (more details below).


Uploading a Document From the Documents Page

To upload a document via the Documents page, begin by logging in and clicking the Documents button from the left hand navigation menu on your Renter Dashboard. Once on the Documents page, click Upload Document in the upper right hand corner.

You will be required to provide the following information:

  1. Choose File: Choose the PDF, JPG, or PNG file for the document you would like to upload.
  2. Document Name: Type a name for the document that will let either administrators or Facilitron staff know what the document pertains to.
  3. Document Type: Select what type of document is being uploaded from the following list: Certificate of Insurance, Background/Fingerprinting, Health & Safety, Layout/Seating Chart, Org Affiliation Letter, Non-Profit verification, Permit/License, Roster, Tax Document, and Other.
    1. Please note that your Certificate of Insurance (COI) should not be uploaded in the document section, but instead should be uploaded to the Insurance section of your reservation or organization so that it may be properly reviewed. The only COI's that may be provided in the document section are COI’s for vendors, which should be uploaded directly on your Reservation Details page.   4. Expiration Date: Enter the expiration date for your document if there is one. Please note that choosing certain document types will disable this field.
  5. Organization: Select the Facility Owner Organization (district) that this document should apply to.

Please note that uploading a document via the Documents page will apply the document to all reservations within the selected district. If a document should only be associated with an individual reservation, it should be uploaded via the Reservation Details page.


Uploading a Document from the Reservation Details Page

To upload a document via the Reservation Details page, begin by logging in and navigating to the Reservation Details page (see Finding Reservations/Navigating to the Reservation Details Page - Renters for assistance).

Once on the Reservation Details page, click Attach Document in the Documents widget.

You will be required to provide the following information:

  1. Choose File: Choose the PDF, JPG, or PNG file for the document you would like to upload.
  2. Document Name: Type a name for the document that will let either administrators or Facilitron staff know what the document pertains to.
  3. Expiration Date: Enter the expiration date for your document if there is one. Please note that choosing certain document types will disable this field.
  4. Document Type: Select what type of document is being uploaded from the following list: Certificate of Insurance, Background/Fingerprinting, Health & Safety, Layout/Seating Chart, Org Affiliation Letter, Non-Profit verification, Permit/License, Roster, Tax Document, and Other.

  5. Applies To: Here you may either choose between applying a document to the individual reservation only, or to all reservations within the district.
